A letter is the end of an earlier process
In many organizations the claims function is activated when somebody asks for a letter. That is usually too late. Before the issue reaches the contract team, someone has already selected the information, interpreted the event and taken operational action.
Risk begins at the source of information
Mature claims management starts with the design of information flows. The person responsible for contractual risk needs access to facts before interpretation, the ability to test them against the contract, identify evidence gaps and express a different professional assessment.
Two perspectives, one decision
Delivery and contract management view the same project through different lenses. Delivery focuses on execution, time and resources. The contract function considers responsibility, notice periods, evidence, time and cost effects and the risk of losing entitlement. A mature system does not let one perspective defeat the other; it resolves the difference consciously.
AI cannot repair missing information
AI can search documents, reconstruct chronologies and identify inconsistencies. It cannot repair an organization in which material information never enters the system or is dismissed before it is examined.
Can the organization recognise early enough that it needs to start protecting its position?
